How much are you wasting on Microsoft 365?

A Microsoft 365 administrator for your organisation. The review reads tenant-wide licence and usage data, and Microsoft only releases that to an admin who approves the read-only permissions. If you're not an admin you'll see a 'needs admin approval' message from Microsoft. If that happens, forward this page to whoever looks after your Microsoft 365.

The connection is read-only and goes through Microsoft's own sign-in, so we never see your password and the tool has no permission to change anything. It reads four things: your subscriptions and seat counts, which users hold which licences, whether accounts are enabled, and Microsoft's own 90-day usage reports. An admin can revoke the access at any time in Microsoft Entra under Enterprise applications.

It's processed on the fly and discarded. The scan runs, the findings are calculated, and nothing is stored on our servers. There are no databases and no logs of your user list. Your contact details are only sent to us if you choose to share them to unlock the full report, and the summary we receive contains aggregate numbers only, never your employees' names.

Five kinds of waste: seats you're paying for but haven't assigned to anyone; licences still attached to disabled accounts (usually leavers); users with paid licences who haven't been active in 90 days; doubled-up licences where one plan already includes the other; and downgrade candidates, meaning people on full suites who only ever use email.

They're estimates from UK monthly list prices, ex VAT, and they're deliberately conservative. Unknown licence types are excluded from the totals and each user is only counted once. Your actual prices depend on your agreement and renewal dates, and some flagged licences may be intentional. A proper review validates every line before anything changes.

Because the permissions the tool requests are tenant-wide reads, Microsoft requires an administrator to consent to them. That's a good thing. It's the same protection that stops any random app from reading your directory. Sign in with an admin account, or ask your admin (or your IT provider) to run the scan.

Since 2021 Microsoft conceals user names in usage reports by default, so on some tenants we can count inactive users but not name them. An admin can change this in the Microsoft 365 admin centre under Settings, Org settings, Reports — untick 'conceal user names' and re-run the scan. Exact sign-in dates also need Microsoft Entra ID P1 (included in Business Premium, E3 and E5); without it we estimate inactivity from usage reports instead.

There isn't one. The scan is free and the summary is yours either way.
